When to Upload Your PDFs
Note that even when a document has OCR data, it may be incomplete. Records with Bates stamps applied may get skipped by traditional OCR programs since they have some text data. Traditional OCR does not do well with low quality images. Some records may include image-only scans for critical data, but still register as having OCR text data in traditional programs. This is because some of the page has text, just not the part you care about. We see this in some medical records from one provider scanned into the system of another and then exported through an electronic medical record system. FactExtract.Net's AI vision looks at every page like you would and carefully extracts text that traditional OCR can miss.
If you want to summarize each PDF file as its own item, simply upload your files. If you need to scan each file for internal documents, such as a 1,000 page civil discovery production, you can upload and have our AI divide your documents automatically. Those who want human precision for document division may prefer our free Bookmarker tool, which makes it easier to split a large PDF into its logical subparts. But for many cases it is more convenient and cost effective to have the AI do it. We support both approaches to empower you to work the way you prefer.
When to use Database Upload
If your documents already have good, searchable text, such as native PDFs or documents you've already OCR'd, you can save by skipping the OCR step. Use the free FactExtract Desktop app to import your PDFs into a local database, then upload that database here. You get the same AI summarization, verification, and review at a lower per-page cost.
Database upload also lets you add new extraction fields to a database you've already processed. Ran an initial extraction for dates and names, but now need to pull out monetary amounts? Upload the same database with a new extraction structure. No need to re-process from scratch.

Frequently Asked Questions
How is pricing calculated?
Pricing is per page. PDF uploads cost 5¢/page for OCR and summarization. If you enable Auto-Divide for mixed-document files, that adds 5¢/page for boundary detection. Database uploads are 3¢/page since they skip the OCR step.
What's a "database upload"?
The free FactExtract Desktop app can import PDFs with existing searchable text into a local SQLite database. Upload that .db file here instead of the original PDFs, and we'll run AI summarization on the text you already have, saving you the cost of OCR processing.
Is the desktop app really free?
Yes, completely free. You only pay for cloud processing. The desktop app includes search, timeline visualization, collections, notes, exports, and AI chat integration (Claude Desktop, AnythingLLM, and more), all at no cost.
Is my data private?
Yes. Our AI provider operates under a zero data retention agreement. Your documents are processed and immediately discarded. We never train on your data. Output files are available for 14 days, then permanently deleted from our servers. Delete earlier if you like.
Can I add more fields to a database later?
Yes. Upload a previously processed database with a new extraction structure, and we'll add the new fields alongside your existing data. This is ideal for iterative analysis. Start broad, then drill into specifics without starting over.
Can I use my own tools with the output?
Yes. We use a documented, open SQLite schema. Build your own tools, write your own queries, or integrate with existing workflows. The Excel export works with any spreadsheet software.
Do you offer volume discounts?
Yes. We intentionally operate on a modest margin over our operating costs. However, we will try to accommodate your needs if you have a very large batch of documents or have an ongoing high volume. Contact us at support@factextract.net to inquire.
Will you install FactExtract on my private network?
Yes. FactExtract can be licensed and installed on a private network using either your own in-house LLM server or your securely provisioned cloud LLM provider.
